What email signatures are

An email signature is the sign-off that appears at the bottom of an email. VenueAI supports two signatures, and the one used depends on who the email is sent from.

Keeping these signatures separate ensures leads always see the correct name and contact information, whether they are hearing from your assistant or directly from you.


Build your signature

Both signatures are created the same way. Choose a layout, review your information, and use the preview on the right to see how it will look.

1. Choose a layout

The With photo layout is only available for your personal signature. Emails sent as your AI assistant do not include a person's photo because they are sent on behalf of the venue rather than an individual.

If you choose an image layout before uploading a logo or photo, the preview will show a dashed placeholder so you can see where the image will appear.

2. Review your details

Your signature starts with the information VenueAI already has on file, including:

  • Your name
  • Venue name
  • Address
  • Phone number
  • Website
  • Email address

In most cases, you can leave these fields unchanged.

Leaving a field blank keeps it connected to the information on file. For example, if you update your venue address in Settings later, the signature will automatically use the new address.

Entering a value overrides the information on file. Use this when you want the signature to show something different, such as your direct phone number instead of the venue's main number.

3. Hide information you do not want to show

Each field has an eye icon beside its label. Click the eye to hide that line from your signature.

Hiding and clearing a field do different things:

  • Clearing a field tells VenueAI to use the information already on file.
  • Hiding a field removes that line from the signature entirely.

For example, your phone number can remain saved in VenueAI without appearing in your signature.

Click the eye again to restore the line. Its information will still be there.

4. Choose an accent color

The accent color is used for your name at the top of the signature. Choose one of the available colors or click the final circle to select a custom color.

When editing the venue signature, you can select Apply this color to all brand surfaces to use the same color across your:

  • Chat widget
  • Booking calendar
  • Lead forms
  • Venue signature

5. Add an image

If your layout includes a logo or photo, click Choose file and select the image you want to use.

The image saves as soon as you select it, so there is no separate upload step. VenueAI automatically resizes it for email to help messages load quickly.

A few things to keep in mind:

  • Some email apps block images until the recipient chooses to display them. Your contact information will still appear as text.
  • Each signature can include one image.
  • Image files must be under 2MB.

Send yourself a test

Below the signature preview, you will find a Send test button with your email address already entered. You can change the address before sending if you want the test delivered somewhere else.

Sending a test is the best way to see how your signature will appear in an actual inbox. The browser preview cannot perfectly reproduce every email app, including Outlook, or show exactly what someone will see when images are blocked.

The test includes whatever is currently shown in the preview, even if you have not saved your changes yet. This lets you try a design and check it before committing.

A few things to know about test emails:

  • The test is sent from VenueAI, not your venue's email address. Replies to test emails are not delivered.
  • You can send up to five test emails per hour.

Use your signature in a conversation

Open any conversation and look at the message box. The signature button appears beside the smiley face.

Click it to choose from three options:

  • Show signature: Adds a signature to emails sent from that conversation. The button remains highlighted while the signature is enabled.
  • Hide signature: Sends the email without a signature.
  • Manage signature: Opens the correct signature editor in a new tab without closing or clearing the message you are writing.

When enabled, your signature appears below your message exactly where it will appear in the email. It cannot be edited from the conversation. To make changes that carry over to future messages, use the signature editor.

The signature shown depends on the From selection in the message box:

  • Sending as yourself uses your personal signature.
  • Sending as your AI assistant uses the venue signature.
  • Manage signature opens whichever signature you are currently using.

Your signature preference is remembered separately for each venue. If you work with more than one venue, you can enable signatures for one and disable them for another.


Write your own signature

If you prefer to create your signature manually, select Write my own at the top of the signature section and use the editor.

A custom signature stays exactly as you write it. It will not automatically update when your venue's address, phone number, or other information changes, so you will need to keep it current yourself.

You can switch between a custom signature and the signature builder at any time. Switching back to the builder replaces the signature you wrote, so copy anything you want to keep before switching.


Good to know

Signatures are used for email only. Text messages do not include an email signature. Your venue's text-message sign-off is managed separately.

Nothing is added until you turn it on. If you have never enabled a signature in a conversation, your emails will continue to send without one.

Signatures are saved per venue. If you work with multiple venues, each one has its own signatures and its own on-or-off preference. The editor will show which venue you are currently editing.

Updates apply everywhere. When a built signature uses your saved venue information, changes made in Settings automatically flow into the signature.

Important details remain readable as text. Your address, phone number, email, and website are not embedded inside an image. Recipients can still read and copy them even if their email app blocks images.
