Combine Lead Sources

Lead sources tell you where each inquiry came from โ€” Google, The Knot, Instagram, a referral, and so on. Over time, sources can split into too many small buckets that clutter your reports.

Combine Lead Sources lets you group similar sources together so your reports stay clean and easy to read.

Leads from โ€œGoogle Adsโ€ and โ€œGoogleโ€ show up separately. You can combine them into a single bucket called Google.

Use Combine Lead Sources when:

  • You see multiple sources that mean the same thing but show separately
  • You want cleaner, simpler reporting
  • Your source list has grown messy over time

You donโ€™t need it if your sources already look the way you want.


โš™๏ธ How It Works

Each rule has two parts:

When source is Save as
Google Ads Google
Wedding Wire WeddingWire
Instagram DM Instagram

For every new lead:

  • We check your rules
  • If thereโ€™s a match, we rename the source using Save as

โš ๏ธ Important:

Rules only apply to new leads going forward

Existing leads stay the same unless you update them manually or press Apply Rules To Existing Leads (more on this below)


โž• Adding a Rule

  1. Go to Settings โ†’ Leads
  2. Find Combine Lead Sources
  3. Select a value in When source is

    (Only sources that exist in your data will show)

  4. Enter a name in Save as

    (Example: Google)

  5. Click Add Rule

โœ… Your rule is live immediately


๐Ÿ”„ Applying Rules to Existing Leads

By default, rules only affect new leads. To update past leads:

  1. Click Apply to existing leads (top right of the table)
  2. Review the popup
  3. Click Apply now
  4. Wait for processing (usually under a minute)

Your reports will update automatically when finished.

๐Ÿ’ก You can repeat this anytime if you add new rules later.


โŒ Removing a Rule

  1. Find the rule
  2. Click Remove

โš ๏ธ Removing a rule does NOT undo past changes automatically

To revert leads back:

  • Click Apply to existing leads again
  • The system will restore original sources

Will this affect historical reports?

Only if you click Apply to existing leads


What if I make a mistake?

  • Remove the rule
  • Click Apply to existing leads
  • Everything goes back to original values

Nothing is permanent.


Does this change how leads come in?

No. It only changes how the source is labeled.


Can rules chain together?

No.

If you have:

  • A โ†’ B
  • B โ†’ C

A lead from A becomes B, not C


Will filters and dropdowns update?

Yes.

New source names will appear within a few minutes.
