Availability Calendar

Show leads your available event dates so they can find the perfect day — without the back-and-forth.

What It Does

When enabled, your AI assistant can share a link to your venue's availability calendar during conversations with leads. The calendar shows which dates are open, which have tentative holds, and which are already booked — helping leads self-serve and move faster toward booking.

How It Works

  1. Dates sync automatically — When a lead is marked as "booked" in the system, their event date is blocked on your calendar. You can also manually block dates at any time.
  2. The AI shares it naturally — When a lead asks about available dates or mentions a specific date, the AI will send them a link to your calendar. It won't force the link into every message — only when it's relevant to the conversation.
  3. Leads check availability on their own — Your calendar page shows a month-by-month view with color-coded dates (available, tentative hold, booked) and a call-to-action button you customize (e.g., "Book a Tour").

Setting It Up

Enable the Calendar

Go to Settings → Availability Calendar and toggle it on.

Customize Your Calendar Page

  • Call To Action Button Text — The button label leads see on your calendar (e.g., "Book a Tour," "Request Info").
  • Call To Action Button Link — Where the button takes them (your booking page, inquiry form, etc.).
  • Theme Color — Matches the calendar accent color and button to your brand.

Manage Blocked Dates

Blocked dates appear automatically when leads are booked with an event date. You can also manually block dates:

  1. Click + Block Date
  2. Select the date and status (Confirmed or Tentative Hold)
  3. Optionally add a reason for your own reference

To unblock a date, click the archive icon next to it.

Share Your Calendar

Your public availability page link is shown on the settings page. You can copy it or open it to preview. If you have a custom tracking domain set up, the link will use your venue's domain automatically.

What Leads See

  • A clean, branded calendar showing the current and upcoming months
  • Color-coded dates: green for available, yellow for tentative holds, red for booked
  • A call-to-action button linking to your booking page or inquiry form
  • A note that availability is approximate and should be confirmed directly

Tips

  • Keep your calendar up to date — The more accurate your blocked dates, the fewer scheduling conflicts you'll have. Dates sync from booked leads automatically, but add manual blocks for private events or maintenance days.
  • Use tentative holds — If a lead is close to booking but hasn't confirmed, mark their date as a tentative hold. This creates urgency for other leads looking at the same date.
  • Let the AI do the sharing — You don't need to manually send the link. Once enabled, the AI knows when to share it based on the conversation context.
