Conversation Notes let your team add internal-only notes directly into a lead’s unified conversation timeline. This makes it easy to share context, track internal decisions, and collaborate without affecting what the lead sees or what the AI replies.

Notes live right alongside SMS, email, and other messages — but are never sent to the lead.


What Are Conversation Notes?

Conversation Notes are internal comments your team can add to any lead conversation.

They are designed for:

  • Internal context
  • Team handoffs
  • Reminders
  • Call summaries
  • Special instructions or observations

Notes appear in the same timeline as messages, so your team always has the full picture in one place.


How Conversation Notes Work

Adding a note is simple:

  1. Open a lead’s conversation
  2. Where you normally select a channel (SMS, Email, etc.), choose Note
  3. Type your internal note
  4. Save — the note appears instantly in the unified timeline

Notes are clearly labeled and visually distinct from messages sent to leads.


What Notes Can (and Can’t) Do

✅ Notes CAN be used for:

  • Internal reminders
  • Sharing context between team members
  • Flagging special requests or concerns
  • Recording off-platform conversations

🚫 Notes are NOT:

  • Visible to leads
  • Sent via SMS, email, or any external channel
  • Used by VenueAI when generating AI replies or follow-ups

This ensures internal communication stays private and never impacts the customer experience.


Notes and AI Behavior

Conversation Notes are completely excluded from AI context.

That means:

  • AI replies will never reference notes
  • Notes cannot accidentally influence pricing, availability, or messaging
  • Internal opinions or shorthand stay internal

This separation keeps AI responses accurate, consistent, and safe.

Conversation Notes are especially helpful for:

  • Open any lead
  • Go to the conversation view
  • Use the channel selector and choose Note
